  • Leisure and Events Officer

    Cherry Professional are recruiting for a Leisure and Events coordinator to work for a reputable school based in Nottingham. You will be required to work under the direction of the Facilities Manager to provide support and service to outside organisation's looking to hire out the school premises for classes and functions Due to the nature of the role the hours you are required to work are 4pm - 10pm Monday- Friday (Flexible hours are required on occasions throughout the year to suit the school including occasional Saturdays and to cover absence. Any additional hours worked will be paid as overtime) The Job: General * Ensure that all communication is effective and consistent, reflecting the values of the school * Attend team and staff meetings if required/requested. * Responding to emergencies affecting the school premises * To carry out your duties in a polite, efficient and cheerful manner building relationships with regular users pupils, parents, staff, visitors and contractors with care, consideration and courtesy in accordance with the schools ethos and values * To present high standards of personal appearance in accordance with the schools ethos and values * To demonstrate good environmental practice (such as energy efficiency, recycling and waste Leisure operation * Manage lettings in relation to school requirements, cancelling and relocating bookings as necessary to ensure school events run smoothly whilst meeting the needs of letting groups * Receiving and recording telephone calls; dealing with all enquiries made through, filtering enquires relating to the hire of facilities and commercial functions, and passing on the relevant analysis and recommendations to the FM for approval and pricing confirmation. * To assist the FM in preparing marketing materials for the Lettings activities, including printed matter, advertising, price lists and web content. * Following up enquires and bookings and sending out relevant information to prospective enquirers based on the nature of the enquiries. * Sending out booking forms, contracts, facility information and price lists and estimates. * Setting up and conducting appointments for tours of the facilities with prospective customers and potential hirers. * Liaising with external service providers e.g. printers, entertainers, merchandising companies, service suppliers, with regard to their services and the pricing and booking of these as required. * Producing and maintaining external lettings calendars and schedules of bookings and keeping all stakeholders informed. * Managing and maintaining letting software for different types of activities and bookings. Maintaining and updating external hirers contact details. * Liaising with staff to ensure that all facilities /services are available and the required set-up/clear down and security arrangements for specific functions and /or events is implemented Maintenance * To be proactive in maintaining excellent cleaning standards in both designated areas and those required in support of the facilities team * Ensure any Health & Safety issues are reported to the Facilities Manager assisting the facilities team in health and safety compliance and testing * Carryout light maintenance and decoration tasks Caretaking/ security duties * Opening and locking of the facilities including use of alarm systems. * Carry out security checks both internal and external ensuring there is no unauthorised access during the hire periods * Operation of fire, security systems and MUGA pitch floodlights * Moving furniture as requested, within Health & Safety guidelines e.g. setting out and clearing away chairs and tables, or moving water urns * Ensure facilities are clean and fit for use completing cleaning duties which may arise * The post-holder will be required to undertake any such duties as directed through the Principal which are deemed to be commensurate with this post. This job description may be varied following consultation between the post holder and line manager. Holiday club Support * Providing coordination and day to day support for summer school management and deal with trouble-shooting issues/problems and providing high quality customer care at all times. * Regularly monitoring the quality of our facilities to ensure they meet holiday club requirements and to make sure the setup and arrangements are in place for their use, carrying out pre and post booking Audits.
